What happens when your account is deleted
Data that is deleted
When we process your deletion request, we remove:
- Your name, email address, phone number, and profile information;
- Your account credentials (password, two-factor authentication secrets);
- Your personal preferences (language, notification settings, email signatures);
- Your push notification subscriptions and device tokens;
- Personal content you authored that is not part of a building’s official records (draft messages, personal notes).
Once deleted, this information cannot be recovered.
Data that is kept
Some information must be retained, either because it belongs to a building managed on the platform or because Canadian law requires us to keep it:
| Type of data | Retention period | Reason |
|---|---|---|
| Financial records tied to your unit or subscription (invoices, payments, accounting entries) | 7 years after account closure | Tax and audit obligations |
| Building and property data you managed as a property manager (unit records, building documents, governance materials) | 7 years after account closure, or longer if required by property law | Legal compliance and continuity of building management |
| Communications sent through the platform as part of building records (announcements, request threads) | Kept as part of the building’s records, controlled by the building administrator | Building operations and legal record-keeping |
| Backup copies of your personal data | Up to 30 additional days after deletion | Technical backups are overwritten on a rolling basis |
| Minimal record of the deletion request itself (date, email that requested it) | Retained indefinitely | So we can prove the request was honoured if asked |
Retained data is access-restricted and used only for the legal and operational purposes listed above.
Before you request deletion
You may want to take the following actions first, since they cannot be undone after your account is gone:
- Property managers: transfer or cancel any active AppNFlat subscription so your clients are not interrupted. See AppNFlat Subscription.
- Residents: download any invoices, notices, or documents you want to keep. After deletion, you will no longer be able to sign in to retrieve them.
- Everyone: if you only want to leave a specific building or group of buildings but keep your account, use the leave a building flow instead.
