Room reservations

To access room reservations, click the Services icon in the left navigation menu, then click Room Reservations.

Calendar

The booking calendar displays all available spaces and their reservations:

  • Each row represents a bookable space
  • The calendar shows availability for the selected day
  • Your reservations appear in color
  • Other confirmed reservations appear as blocked slots.

You can navigate through the dates using:

  • The Today button to return to the current date
  • The date selector to access a specific date.

Make a reservation

To reserve a space:

  1. click the New reservation button, or click directly on an available slot in the calendar.
  2. Complete the information
  3. Click New reservation to confirm.

Parameters

SpaceSelect the space you wish to reserve
UnitSelect your unit (automatically filled if you only have one unit)
DateChoose the date you wish to reserve
Start TimeSet the start time of your reservation (for time-slot spaces)
End TimeSet the end time of your reservation (for time-slot spaces)
Number of daysNumber of consecutive days to reserve (for full-day spaces)

Full-day reservations

Some spaces can only be booked by the full day. For these spaces, instead of choosing a start and end time, you simply select a start date and the number of days you need.

The reservation will cover the selected days from start to finish. Minimum and maximum durations in days may apply depending on the space.

View your bookings

You can filter the calendar to see only certain spaces or booking statuses using the filter options at the top of the page.

Click on one of your reservations to see the details, including:

  • The space name
  • The start and end times
  • The status
  • The cost (if applicable)

Reservation Status

  • Pending Approval: Your reservation is awaiting approval from your manager (for spaces that require it).
  • Confirmed: Your reservation has been approved or automatically confirmed.
  • Cancelled: The reservation was cancelled by you or your manager.
  • Rejected: Your reservation request was not approved.

Cancel a reservation

To cancel a reservation:

  1. Click on the reservation in the calendar
  2. Click on the Cancel reservation button
  3. Optionally, enter a reason for cancellation
  4. Confirm the cancellation
