Credit Notes

Credit notes allow you to track credits received from your suppliers. When a supplier grants you a credit (for example, for a product return, billing error, or discount), you can create a credit note in AppNFlat and use it to reduce the amount of future payments to that supplier.

  1. In the left menu, click Suppliers
  2. Select the relevant supplier
  3. Click + Transaction, then Credit note
  4. Fill in the information:
    • Number: the credit note number provided by the supplier
    • Amount: the amount of credit granted
  5. Click Save

When paying an invoice from a supplier who has available credit notes, you can apply them to the payment:

  1. Select the supplier
  2. Create a new payment by clicking + Transaction, then Payment
  3. In the Invoice section, select the invoices you want to pay
  4. Click Add credit note
  5. Select the credit note you want to use. The credit note amount will be automatically applied to reduce the amount to pay

To see all available credit notes for a supplier:

  1. Go to the supplier’s page
  2. Click Credit notes
  3. You will see a table with:
    • Number: the credit note number
    • Original Amount: the total amount of the credit note
    • Pending Amount: the amount reserved for payments awaiting approval
    • Unused Amount: the amount still available for future payments

When viewing a supplier payment transaction, you can see in the details:

  • The invoices paid and their amounts
  • The credit notes used and their amounts
  • The total amount paid by the bank account

This allows you to keep a complete record of your supplier credit usage.
