Credit Notes
Credit notes allow you to track credits received from your suppliers. When a supplier grants you a credit (for example, for a product return, billing error, or discount), you can create a credit note in AppNFlat and use it to reduce the amount of future payments to that supplier.
Creating a Credit Note
Section titled “Creating a Credit Note”- In the left menu, click Suppliers
- Select the relevant supplier
- Click + Transaction, then Credit note
- Fill in the information:
- Number: the credit note number provided by the supplier
- Amount: the amount of credit granted
- Click Save
Using a Credit Note to Pay an Invoice
Section titled “Using a Credit Note to Pay an Invoice”When paying an invoice from a supplier who has available credit notes, you can apply them to the payment:
- Select the supplier
- Create a new payment by clicking + Transaction, then Payment
- In the Invoice section, select the invoices you want to pay
- Click Add credit note
- Select the credit note you want to use. The credit note amount will be automatically applied to reduce the amount to pay
Viewing a Supplier’s Credit Notes
Section titled “Viewing a Supplier’s Credit Notes”To see all available credit notes for a supplier:
- Go to the supplier’s page
- Click Credit notes
- You will see a table with:
- Number: the credit note number
- Original Amount: the total amount of the credit note
- Pending Amount: the amount reserved for payments awaiting approval
- Unused Amount: the amount still available for future payments
Tracking Used Credit Notes
Section titled “Tracking Used Credit Notes”When viewing a supplier payment transaction, you can see in the details:
- The invoices paid and their amounts
- The credit notes used and their amounts
- The total amount paid by the bank account
This allows you to keep a complete record of your supplier credit usage.
